Charter Sales & Flight Coordinator

The Charter Sales & Flight Coordinator is responsible for developing and maintaining client relationships, generating charter sales opportunities, coordinating trip logistics, and ensuring the successful execution of charter flights. This position serves as a primary point of contact for charter customers from the initial inquiry through trip completion while working closely with flight crews, scheduling, maintenance, and operations personnel to provide exceptional customer service and operational support.

  • Required Qualifications

    • High school diploma or equivalent; bachelor's degree preferred.

    • Minimum of 2 years of customer service, sales, aviation, or dispatch experience.

    • Strong interpersonal and relationship-building skills.

    • Excellent verbal and written communication abilities.

    • Ability to multitask and prioritize in a fast -paced environment.

    • Strong attention to detail and organizational skills.

    • Proficiency with Microsoft Office Suite and web-based software platforms.

    • Ability to maintain confidentiality and professionalism.

    • Availability to work flexible schedules, including evenings, weekends, and holidays as operational needs require.

    Preferred Qualifications

    • Previous Part 135 charter sales, dispatch, scheduling, or aviation operations experience.

    • Knowledge of private aviation and charter industry practices.

    • Experience using charter scheduling, dispatch, CRM, or aviation management software.

    • Understanding of FAA regulations applicable to charter operations.

    • Existing network within the private aviation industry.

    • Base $50,000 with the ability to earn up to/over $100,000 in commission

  • Charter Sales & Customer Relations

    • Develop and maintain strong relationships with existing and prospective charter clients.

    • Respond promptly to charter inquiries via phone, email, and other communication channels.

    • Prepare and present charter quotes, proposals, and contracts.

    • Follow up on leads and actively pursue new business opportunities.

    • Build long-term customer relationships to encourage repeat business and referrals.

    • Maintain detailed customer records and sales activities within the company's CRM systems.

    • Educate customers regarding aircraft capabilities, scheduling requirements, and charter procedures.

    • Resolve customer concerns professionally and efficiently.

    • Coordinate special requests and concierge services when applicable.

      Charter Dispatch & Flight Coordination

    • Coordinate charter trip logistics from booking through completion.

    • Prepare and distribute trip sheets and flight information packages.

    • Communicate trip details, passenger requirements, and schedule changes to flight crews and operational personnel.

    • Monitor flight schedules and provide updates to customers regarding departures, arrivals, delays, or operational changes.

    • Coordinate ground transportation, catering, hotel accommodations, and other passenger services as requested.

    • Verify required documentation and operational information prior to departure.

    • Assist with flight following and operational communications as assigned.

    • Maintain accurate trip records and documentation.

    • Ensure all charter operations are conducted in accordance with company policies and applicable regulations.

      Administrative Responsibilities

    • Process charter agreements, invoices, and customer documentation.

    • Maintain accurate records of charter activity and customer communications.

    • Prepare sales and operational reports as requested.

    • Assist with marketing initiatives, customer outreach, and client retention programs.

    • Support operational departments with scheduling and coordination activities.

    • Participate in after-hours and on-call support rotations as required.
